Title Clinic Director

Description This job exists to: Assure that the site operates effectively, efficiently and consistent with the Clinica model of care delivery, focusing on Clinica's mission and vision and the Key Results Areas and Goals included in the strategic plan. Provide senior leadership at the site and manage all aspects of the site's health care delivery system, excluding direct patient care and clinical protocols which is lead by the site Clinic Medical Director.

•Provide senior level leadership at the site.
•With the executive team, develop company-wide and site specific goals and objectives designed to meet Clinica's mission and vision.
•Lead the site leadership team and site staff to meet organizational goals.
•Assure safe and well maintained facilities.
•Form an effective partnership with the Clinic Medical Director, to assure the delivery of high quality primary and preventative health care services.
•Provide day-to-day leadership and direct supervision to the Clinic Operations Manger, Administrative Assistant (if applicable), Case Managers (if applicable), Referral Case Manager (if applicable) and the operational responsibilities of the Nurse Team Managers.
•Assist the Vice President, Operations in the development of policies and procedures related to operational systems and assure that pod staff receives adequate training to implement these policies and procedures.
•Assure site has a well functioning group visit program.
•Assure that the administrative requirements of Finance, IT, HR are met at the site.
•Oversee and assure HIPAA, CLIA, OSHA, Cancer Screening, Safety, ROAR, and JCAHO requirements are met at the sites.
•Maintain Clinica’s model for care delivery. Assure site operations are consistent with the model and with those at other sites, follow proper channels to recommend system-wide changes, or justify why site should operate differently.
• Working with the finance department, prepare the site's annual budget and achieve budgetary goals and objectives.
•At sites with Pharmacy Outlets, work with the Director of Pharmacy to oversee pharmacy operations and delivery systems.
•In collaboration with the CMD, HR and site operational staff, actively participate and assist in managing the provider hiring, orientation, and training process.
•Ensure that staff are trained on and follow the principles of Advanced Access Scheduling.
•Ensure the smooth operation of the functions of Referral Case Management.
•Partner with the CMD to ensure well functioning chronic disease outreach and inreach systems are in place.
•Maintain high customer service standards.
•Assure scheduling assistance is provided to schedule appropriate observation for privileging.
•Assist HR in holding managers accountable for timely completion of their hr duties (i.e. performance appraisals, competency assessments, time keeping approvals and payroll documentation, staff core training completed, credentialing and privileging paperwork)
•Proficient with the use of My Clinica Connection.


•Maintain a safe work environment:
•Implement, review, apply and actively enforce the clinic’s safety policies.
•Support the safety program by actively looking for opportunities to improve safety practices and evaluate staff for safety practices and ergonomic issues.
•Discipline staff when safety policies are violated.

•Knowledgeable of and compliant with all laws and regulations governing area of responsibility.
•Responsible for reporting any potentially non-compliant conduct.
•Cooperate fully with our Compliance Officer in upholding our Compliance Plan.

Other duties and responsibilities as required.

Westminster Only: Oversight of Communications Center
• Assess the needs of the Communications Center staffing levels and ensure appropriate FTE needs are communicated to the VP of Operations.
• Develop, write, implement and monitor Communications Center related procedures.
• Responsible for having a working knowledge of the phone system and system reporting software.
• Coordinate resolution of IT and phone problems with the IT Department and outside phone vendor.
• Partner with C-COM and IT if necessary to make recommendations related to the performance and abilities of the organizational phone system.
• Establish and maintain Communications Center performance goals.
• Oversee that routine audits are performed by Communications Center Operations Managers and ensure that performance issues are addressed.
• Manage and coach the Communications Center Operations Managers to ensure that strategic performance goals are being met.
• Partner with the VP of Operations to create strategic goals and quality improvement initiatives related to call center.
• In collaboration with the Finance Department and VP of Operations, develop and maintain Communications Center budget.
• Oversee the organizational work related to My Clinica Connection, including the Help Desk/Configurations Workgroup, added functionalities and system upgrades.


•Operational oversight of Clinic.
•Manage and coach staff.
•Initial and annual Performance Evaluations.
•Disciplinary action as needed.
•Leadership and modeling of Clinica values.


1.Authority for hiring and day to day coaching of staff.
2.Final authority for decisions to terminate the employment of a staff member.
3.Responsible for overseeing the efficient flow and effective management of the Pods
4.Works with the Clinic Medical Director to maintain quality of care and operational efficiency and integrity and meet organizational goals and objectives.
5.Works with the site directors at other sites to assure operational consistency and effectiveness.

Progress is reviewed quarterly and results are measured and formally evaluated annually.

Requirements A. Education / Experience
1. Bachelors’ Degree in medical administration or related field required.
2. Five years of management experience, at least 3 in a medical environment
3. Experience leading a management team preferred.

6. Experience with project management helpful.
