Description ALA’s Finance department is seeking a senior administrative assistant for the ALA CFO and the Finance Department. The senior administrative assistant will be a key member of a dynamic internally and externally facing team serving both ALA staff and ALA member leadership.

This position is vital to the smooth functioning of Finance area activities and communications. Ensures that timely reports and documents are given to the Budget Analysis & Review Committee (BARC), Executive Board and the Planning & Budget Assembly. Must remain in good communication with association members, department heads, mangers and other ALA staff. Should present as polished, professional, and extremely organized.

Occasional overtime work may be necessary to meet specific deadlines.

Reporting directly to the ALA CFO, the senior administrative assistant will support the finance leadership and unit staff and be responsible for these key functions among others:

• Completes a broad variety of administrative tasks for the CFO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Helps maximize finance leadership productivity by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
• Prepare internal and external corporate documents for team members and Association member leaders;
• Maintain an organized filing system of paper and electronic documents;
• Arrange organizational events to take place outside of the work place, such as departmental retreats and staff appreciation events;
• Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
• Acts a primary liaison for Association insurance and corporate card programs;
• Provides meeting preparation support.

Starting salary range is negotiable from the mid-30s; based on relevant experience and qualifications. ALA has an excellent benefit package that includes medical, dental, generous paid vacation and a retirement annuity

Requirements Minimum of 3 to 4 years’ relevant experience providing senior level administrative support, preferably in a Finance department; Bachelor's degree preferred.

Knowledge of various computer programs, including Word, Excel, PowerPoint, SharePoint, and iMIS membership database. Web content design experience, working knowledge of databases and prior experience working in an association desirable.

Superior organizational, technical and communication skills; professional and friendly demeanor; ability to work effectively with staff and members; strong project management skills. Ability to “switch gears” at a moment’s notice.
