Description The American Library Association (ALA) is seeking a full-time, high-performing Conference Assistant for the Office of Conference Services. The successful candidate will have administrative experience and a strong interest in meeting planning. A great entry-level opportunity for an energetic and motivated professional, with excellent written and verbal communication skills.

Reporting to the Director of Conference Services, the Conference Assistant will support the planning, coordination, and arrangements for meetings and conferences, including of pre- and post-event tasks:

• Maintain and update event history, documentation and reporting
• Digital file storage organization and compliance
• ALA office setup and operations onsite including Computer orders, phone order and phone list
• Assist with meeting and program scheduling
• Communicate and schedule affiliate and exhibitor requests for space
• Assist with coordinating accessibility services/orders
• Create special sign orders
• Process invoices and assist with orders, reconciliation, and reporting
• Other duties as assigned

SALARY: Negotiable from the low 30s; based on relevant experience. ALA has an excellent benefit package that includes medical, dental, generous paid vacation and retirement annuity.

Requirements
• Bachelor’s degree preferred or combination of education and experience (minimum of one to three years) that demonstrates experience in a customer relations or event planning environment

• Proficiency with Microsoft Office applications and comfortable learning new technology

• Excellent organizational skills with the ability to follow-direction, multi-task and manage own time, priorities, and resources to achieve goals

• Strong analytical and problem-solving skills

• Superior interpersonal and communication skills; including oral, written, and listening

• Commitment to work within a team to meet timelines and deliverables with a focus on customer service

• Ability to travel, work early mornings and occasional late evenings

• Strong interest in the meetings/events industry
